We encourage electronics testers to hand carry any equipment required for their test at NSRL if possible. In the case where this is unrealistic, equipment may be shipped to NSRL. Information regarding shipping items to and from NSRL can be found in the NSRL shipping summary document.
All shipments arriving at BNL are first delivered to the Shipping and Receiving Building and must then be transferred to NSRL. Generally, shipments should be arranged to arrive at BNL at least 2 days prior to the date a user wishes to have their equipment available.
In cases where any single item shipped exceeds 500 lbs (227 kg), special arrangements are required to be made in order to handle the transfer. Please arrange these items to arrive 1 week in advance.
Shipping Carrier
BNL Shipping and Receiving routinely interacts with FedEx and UPS, with pickups occurring daily without the need of additional intervention by NSRL staff. If a user chooses to use an alternate carrier, special arrangements must be made to grant main gate access to the driver.
- At least 24 hours before arrival, the user must provide the driver’s name.
- The driver must have a valid driver’s license.
- The driver must be a US citizen.
Return Shipping
Activated Equipment
Any equipment that was located in the target room while beam was delivered will be considered activated until surveyed and cleared by a BNL Health Physics Technician. In order to be cleared, the activation level must be indistinguishable from background. Any items found to be activated must remain at NSRL in the designated storage area. NSRL staff will arrange follow up surveys with HP until the item has been cleared. The only exception is in the case that the receiving facility has a certified radiation technician on staff. Arrangements can be made to ship activated parts. NSRL stuff must be notified with as much notice as possible to make necessary arrangements.
Return Process and Timeline
Users are encouraged to make all possible efforts to hand carry as much equipment as possible at the end of their beam time. In the case it is not feasible, prior to departure, it is the users responsibility to pack their equipment and clearly label it with their contact information using the Return Shipping Form. Users should plan to leave behind packing material for sensitive components and equipment that may become activated following a test run.
Once the equipment has cleared NSRL staff will contact the owner and make shipping arrangements. Users must provide shipping information and either a shipping account number or prepaid shipping labels.
NSRL relies on the support of various groups to complete the return shipping process. We are at the mercy of their schedules and workloads. Please familiarize yourself with the turnaround time and make proper arrangements if return shipping is urgent.
Once complete shipping information has been received, NSRL staff will generate and submit internal paperwork that typically takes 1-2 days for approval. Following approval, the items being shipped must be transferred to the Shipping and Receiving Building. The typical transfer times are based on the weight and dimensions. For items less than 500 lbs (227 kg) expect 2-3 days, for items exceeding 500 lbs (227 kg), expect up to one week.
